Navigate to the “Estimate & Job Statuses” screen via the My Office menu.
Select either the Job Statuses tab or Estimate Statuses tab to create a status for the appropriate category.
Click the button in the top right. Clicking +Add New while on the Jobs Statuses tab will allow a job status to be created, and clicking while on the Estimate Statuses tab will allow an estimate status to be created.
The pop-up on screen will have several fields, toggle switches, and drop down selections to help you create your new status to perfection.
-
Status Category
- Estimates will always use the single existing category, Estimate Requests.
- Jobs may be in the Open Jobs, Open Jobs That Are In Progress, or Closed Jobs. Open Jobs have not yet begun, and an example status may be Scheduled. Open Jobs That Are In Progress have begun, and an example status may be On The Way or Started. Closed Jobs have been finished, and these statuses are available only after the job has been placed into the Completed status and an invoice has been generated, and example statuses include Invoiced or Paid In Full.
Icon
- Select an icon to display alongside this status in the mobile app
Name
- This is the name of your status, such as Parts Ordered, Estimate Cancelled, or Reschedule.
Short Code
- On job statuses that come with Service Fusion, the Short Code is system-protected and cannot be changed, because logic is tied to the code.
Status Workflow Logic
- For Job statuses in the Open Jobs in Progress category, logic can be applied to stop labor and allow invoicing, or stop labor only. "Generic Status- No Workflow Logic" allows a status to be created that can be used for labeling purposes only, such as Reschedule or Pending.
Background Color
- This is the visible color associated with your status, visible in the back office on the Dispatch Grid, Calendar, and anywhere job and estimate statuses are viewed.
Is Active
- Possibly better known as the Active/Inactive switch, this indicates whether a status can be currently selected or not. An Active status is available for use and can be freely assigned, where an Inactive status cannot be assigned. A status might be made inactive if it is no longer needed, such as "Estimates 2021"
Field Workers Can Assign This Status
- If this is set as YES, a field worker in the mobile app can assign this status to a job or estimate. If this is set to NO, a field worker cannot assign this status; only a user with access to the back office, or desktop website, can assign this status to a job.
Additional features, such as the communications enabled by the "When this status is selected" drop-downs, and allowing technicians to see or use statuses, is described in depth here.
Sub-Statuses
User-created statuses can be used as Sub Statuses, to offer an additional level of organization.
The possibilities are endless, but some examples of sub-statuses include: Ready to Invoice, High Priority, Low Priority, Overdue Attempt 1, Overdue Attempt 2, Pending Reschedule, Pending Mgr Approval, Pending Cust. Approval, Parts Ordered, Parts Needed, Deposit Received, Special Billing Rules, PO Needed, Warranty, Closed/Non-Billable, COMP
If Manual Status Override is enabled, user-created statuses can be used as the main job or estimate status, not just as sub-statuses! Learn more about Manual Status Override here.
