Profit Rhino Integration - Integration Wizard
Note: Even though you can complete this process on your own, we do recommend working with our Implementation or Support team to set up your Service Fusion Profit Rhino integration.
After you submit the form to learn more about the Profit Rhino integration, you are taken to our Thank You for Your Interest page. If you are currently a Profit Rhino customer and have access to your API key, you can click the I have an API key button, this will take you to the integration wizard.
Step 01: API Key
Here you can enter your unique Profit Rhino API key. Once you press Activate, our system will check to see if it is a valid API key or not. After the key is validated, you will be able to click the Next Step button in the bottom right.
To find your Profit Rhino API key:
1. Login to your Profit Rhino account.
2. Click the My Account button in the bottom left.
3. On the account page, find the PR API Key field.
4. Copy the API Key.
5. Paste in the API Key field in Service Fusion.
6. Click activate
Step 02: Pricing
The second step is where you map your Profit Rhino price columns to your Service Fusion rates. In the first field, we recommend mapping Profit Rhino Value Rate to Service Fusion Member Rate — a discount rate you can change your loyal customers. In the second field, we recommend mapping Profit Rhino Standard Rate to Service Fusion Regular Rate, this is your normal hourly rate you would like to charge your customers.
Next is your price settings. You can check on or off if you would like to default all the users (with access to the Field Worker App) in your system to have access to view Profit Rhino parts costs in the Worker App. This exposes the parts cost field when viewing a Profit Rhino flat rate item in the catalog in mobile. The second setting allows all users to modify Profit Rhino flat rate pricing on jobs/estimates. If this box is checked, users (with access to the Admin System) will be able to edit Profit Rhino flat rate task pricing in the web portal.
Step 03: Taxes, Fees, Discounts
This step allows you to select all the taxes, fees, and discounts that you would like to apply to your Profit Rhino flat rate tasks. This does not mean they will all be applied, this means if a Profit Rhino flat rate item is on a job/estimate and a tax, fee and/or discount from this list, it is also applied to the job/estimate. If there are multiple taxes, you can select which one you would like by using the tax selection drop down.
Step 04: QuickBooks Sync
QuickBooks Sync is the final step in the integration process. If you are a QuickBooks user, there are two ways you can sync your Profit Rhino data with your QuickBooks — either $0 cost or Profit Rhino cost. Profit Rhino flat rate tasks have a parts budget associated with them. This budget is a recommendation that will help you hit your desired profit margins. Since this is a recommendation, and not actually linked to the exact parts you purchased for the job, it can throw off your job costing in QuickBooks. This is why we recommend sending the Profit Rhino flat rate tasks over with a $0 cost. That way, if you want accurate job costing, you can manually enter the parts cost into QuickBooks. If you are less concerned about detailed job costing, then you can select to send your Profit Rhino flat rate tasks over with the Profit Rhino cost. This will happen automatically and will not require you to go into QuickBooks and manually add your parts cost.
Note: your whole Profit Rhino price book will not automatically sync over to QuickBooks, they sync over when they are used on a job.
If you are not a QuickBooks user, you can select keeping your Profit Rhino cost on the Profit Rhino flat rate tasks so you can still view some loose job costing numbers when you run reports in the Admin System.
After you click Save in the bottom right corner, you are all set. If you ever want to edit your settings or disable your integration, you can visit the integrations page under the My Office tab by clicking the Profit Rhino button under the active integrations column on the left side of the screen.
