Best Suited for:
- Back Office administrators
- Users responsible for configuring Company Preferences
- Managers who oversee numbering conventions for estimates
Important Information:
- The estimate number sequence is initially configured within Company Preferences
- The estimate number sequence only considers integer values
- The system will always continue numbering sequentially from the highest existing estimate number
- Manually adjust the estimate numbering sequence to continue with a unique set of numbers
- If higher‑numbered estimate exists, they must be renumbered or adjusted before using a lower sequence
- Alpha numeric character combinations can be used, and, if used, will remove the job number from the sequence
- Estimate number sequencing includes numbers from deleted estimates
- Once all of the large estimate numbers have been updated, update the most recent estimate number to the desired sequence
- Estimates, jobs and invoices can each have their own unique numbering sequences
Setting the Initial Estimate Number Sequence (No Existing Estimates):
- Navigate to My Office
- Select Company Preferences
- Locate the setting labeled Set Own Estimate & Job Number Sequence
- Enable the setting
- Enter the desired starting estimate number in the available field
- Select Save Changes
This sets the initial sequence for all future estimates.
Resetting the Estimate Number Sequence (Existing Estimates):
If estimates already exist, the sequence must be reset by editing the most recent estimate number.
- Open the most recent estimate in View or Edit mode
- Select the estimate number (blue link)
- Enter the new starting number
-
Example: Changing the most recent estimate from
1035284to20265001causes the next estimate created to be20265002
-
Example: Changing the most recent estimate from
- Select the blue check-mark to save the change
- Save the estimate
Verifying the Updated Estimate Number Sequence:
- Create a new estimate
- Confirm the estimate number increments sequentially from the updated value
- Verify the format matches the intended numbering range
Adjusting Higher Existing Estimate Numbers:
If estimates already exist with numbers higher than your desired range, the system will continue numbering from the highest existing estimate. To reset the sequence:
- Update or adjust any estimates with higher numbers to a lower value
- Or add a letter to the estimate number to preserve uniqueness
The system will always increment based on the highest existing estimate number, including deleted estimates.
